After entering an arrival, production or use or loss, use Post entries to finish recording it. You choose the completed entry from a list here and read the result. When it says Accepted, the amount is included in your stock and history.
Keeping this final step in one place helps you see which entries are finished and in what order they were recorded. It is also where you check before repeating work after closing a window or losing your connection.
Understand draft and posted records
An entry you are still preparing is called a draft. Google Sheets saves what you type on Add Stock, Produce or harvest and Use or loss, so you can leave and return. The draft may still need details or checking, and its amount is not yet included in stock.
Posting means choosing that completed entry here to finish recording it. An Accepted result then updates stock and history. You do this directly in spreadsheet cells without an add-on window. Other pages, including movements and batch membership, have their own finishing controls explained in their guides.
Choose the completed record
Complete the original row and read Entry check. Follow its message if something is missing or needs correction. Click the Post entries link near the top of Add Stock, Produce or harvest, or Use or loss. It opens the next unused posting line for you, after all earlier submissions, including rejected attempts. If an earlier line is empty, leave that gap alone; continue at the line the link selects.
If you are already on Post entries, click Next posting line → near the top before choosing another entry. It selects the next unused posting line. If the link tells you the page is full, stop and keep the existing entries; do not replace earlier lines.
Open Choose completed record in column A. Start typing the Stock number, Activity number or Entry number from your original entry to narrow the choices. Read the full description, quantity, unit and source details before choosing. This helps you distinguish similar entries and finish the one you intended.
Select the matching description from the list and wait for Result. Leave that full description as it was selected: do not shorten it, turn it into a formula or replace an earlier line. It keeps the details you submitted at that point.
Post several prepared entries
You can prepare several entries before coming here, then finish them in one visit. Each entry is still submitted separately. This lets you check the result and what was submitted before continuing to the next entry.
Open the next unused posting line. Follow Post entries from the entry page, or click Next posting line → near the top of this page. Close any dropdown that was left open before following the link.
Choose one current entry. Open Choose completed record in column A on the selected line. Start typing its Entry number, Stock number or Activity number to narrow the choices, then read the full description, amount, unit and source details. If the description does not match the draft you intended, do not choose it. Choose the matching entry from the list as it appears now. Do not copy several choices beforehand or paste an old choice from another posting.
Wait for the result. Check Result and Entry summary on that line. Accepted means this entry has changed stock and history. If no result is clear, check that same line before trying again.
Move to a new line before the next choice. After Accepted, click Next posting line →, then open the dropdown on that newly selected line afresh. Read and choose the next entry, and check its result before continuing. Do not leave a dropdown open and use its earlier choices for the next submission.
Ready on an original entry is not Accepted here. Sheets saves your draft text, but the draft has no stock effect and reserves no quantity. After one entry is Accepted, less stock may remain for another. A later Rejected result does not undo work already Accepted.
If an entry is Rejected, read why and repair its existing draft. Use Next posting line → and choose the updated description on a new line, leaving the rejected line in place. Correct any mistaken details on that original draft, including the stock or date if either was wrong. The retry finishes the same event; it is not an additional removal. You can leave unfinished drafts for later without re-entering work already Accepted.
For repeated removals from one stock, see Record several uses or losses. That guide explains which details you can safely copy while preparing the rows. Posting remains one entry at a time.
Read the result and know what to do next
Accepted means the entry is finished and its amounts have been included in stock and history. Read Entry summary on the same line, then click View Current Stock → near the top of Post entries. Find the Stock number and compare the quantity, unit and description with the work you recorded. The original entry’s Posted box ticks automatically; leave that results box alone.
Your existing Current Stock filters stay in place when you return. If they hide the stock you want to check, choose All stock under Show stock, clear Find stock, and choose All in Use status and Location. An accepted entry does not need to be entered again because a filter hid it.
Rejected means this attempt did not add or use any stock. Read why, correct the original draft and select its updated description on a new posting line. Correct the mistaken details on that same draft, including its stock or date if needed, rather than creating another entry for the same physical event. Leave the rejected line in place.
If an earlier line already says Accepted, the entry is finished. Check it before submitting again after an interruption, then continue with the stock already recorded. You do not need another entry for the same physical arrival or output.
Start another entry
If the next event already has a prepared draft, follow Post several prepared entries instead of starting it again. Use the next-entry links below when you need to begin different work.
When you are ready to record a different event, use Next receipt, Next production or Next use/loss near the top of Post entries. The link opens the next unused line on the matching entry page, after the last line you have used. It leaves earlier entries and unfinished drafts where they are.
Enter and review the new details there, then finish through Post entries as usual. Earlier unfinished drafts stay on their original lines. If your last result was Rejected, return to that original draft, repair it and choose its updated description on a new posting line instead of starting the same work again.
Keep the posting order
Always add your next entry after the last line. Do not sort, insert, replace or delete posting lines. The list needs to show the order in which entries were accepted, so later entries take account of amounts already used.
The date on the original entry tells you when the farm work happened. The position here tells you which entry was accepted first. If an earlier entry has already used some stock, a later entry must use what remains. Rejecting the later request does not undo the earlier use.
Correct a recorded mistake
Once Accepted, the submitted details are kept even if you edit the old draft. To fix a typing mistake in the original amount, use Correct quantity; do not type today’s remaining balance as its replacement. Use Correct details for a detail that tool supports. The correction keeps the earlier value and your explanation.
These correction tools need the development add-on. Finish any correction or maintenance already in progress before submitting more work. A correction that would make earlier accepted work impossible is refused or reversed. If stock was really used or lost later, record that on Use or loss rather than describing it as a typing mistake.
Close, reopen and continue
After reopening the workbook, find the original number in this list before making another entry. Google Sheets keeps the details it saved, and Result shows whether that entry was finished.
An Accepted entry is complete. A Rejected entry needs a repaired draft and a new posting line. A draft that was never submitted still has no stock effect. Establishing which situation applies lets you continue the same work without giving one physical receipt or output two records.
Know the practice limits
This practice version is for one editor at a time; keep operational records separately during review. It has 600 posting lines, 200 arrival rows, 200 production rows and 200 use/loss rows. It can also hold up to 2,000 source connections: each one names a particular source used for an output.
Archiving does not give you more posting lines to use. Warning protections can help prevent accidental edits, but the workbook owner can still change the cells. Daily work with larger volumes has not yet been established, so these row limits are not a promise that the preview is ready for a busy farm at that size.
