Use & loss history explains the accepted quantities that left your stock and why they left. It helps you distinguish purposeful use from an actual loss, rather than showing only a reduced balance.
Read Current Stock for the amount remaining today. This history describes individual removals, so it does not show a running stock balance after every row or include material consumed in a production activity.
Find an accepted event
In the search cell near the top (B4), enter a stock number, an event’s Entry number or words from its reason. Read the matching amount, Unit and Reason or purpose together. Delete the text in the search cell to show all Accepted uses and losses again.
The newest event dates are shown first. Where a time was entered, it helps order events on the same date; a blank time means it was not known. Unfinished and Rejected entries are absent, so check their original Use or loss row and Post entries result if an expected event is missing.
This view fills itself from the recorded events. Leave the displayed cells unchanged and use the appropriate correction page if an accepted detail needs repair.
Entry number
This identifies the particular use or loss and lets you find its original row. One stock number can have several such events, each with a different entry number. Use the entry reference when you want to check one removal without confusing it with another involving the same lot.
Stock number
This identifies the item or lot from which the amount was removed. A partial use or loss does not give what remains a new number. Notes, moves and production connections continue to belong to that stock, helping you understand the rest of its history.
Happened on
This is the recorded date of the actual use or loss. It may be earlier than the day someone entered it. If the date seems surprising, follow the entry number to its original record rather than treating the order in which you opened these rows as the order of the events.
Use or loss
Use means an amount was taken for a purpose; Loss means it was physically lost, died, spoiled or was discarded. Read the reason alongside this label to understand the particular event. A correction to a mistaken original count or weight belongs in correction history, because it repairs a fact rather than recording another physical removal.
Quantity removed
This is the positive amount removed by this event, measured in the adjacent Unit. It is neither a new receipt nor the quantity remaining today. Open Current Stock when you need the present balance after all accepted work and corrections.
Unit
Read each quantity with its unit so that you know what was removed. Counts, weights and volumes cannot usefully be added as if they measured the same thing. The history keeps the original units and does not convert them.
Reason or purpose
This is why the recorder said the amount left stock. Read it with Use or loss and Quantity removed to understand the event. If the reason on an Accepted entry is mistaken, use Correct details rather than typing into this history, so the old wording and its repair remain understandable.
Time happened — optional
A time is shown only when one was entered for the event, using the workbook’s timezone. A blank means the time is unknown. Events with the same or unknown time do not establish a precise within-day order, even though the view groups them by date.
Recorded by — optional
This is the person or team named on the original entry. It gives you someone to ask about the event. The name was entered by the recorder rather than filled automatically from Google sign-in.
