Batch membership records when stock joins or leaves a named group. Use it after creating the group on Batches, so you can see who belongs now and understand who belonged at the time of a shared incident.
Keep each joining or leaving entry instead of erasing an earlier one. You can then see who belonged at a past time as well as who belongs now. Joining this group does not change a member’s own Stock number, quantity or location.
Record a membership change
First create the group on Batches if it does not exist. The member stock must also already have a Stock number. You are connecting existing records to a group, rather than receiving new stock or producing output.
Click Next membership entry → to reach the next unused row. Give the change a new Entry number, then choose the Batch number and the Stock number of the member concerned.
Enter when the membership actually changed, using Happened on and Time happened. Choose Add when the stock joined or Remove when it left.
Read Entry check and resolve any message. When it says Ready, tick Include entry last so the completed change can be used in the group views.
Return to Batches and check Current members. Keep the completed event row, even if the member leaves later.
Finish a membership row with its Include entry checkbox, rather than submitting it on Post entries. This records who belongs to the group. Click View batches → to check Current members. Any physical move, quantity change or progress to another stage still needs its own stock entry.
Include entry
Complete the row and read Entry check. When it says Ready, tick Include entry. Then check Current members on Batches to see the result before entering another change.
Keep an earlier Add checked when the stock leaves later. Enter a new row with Remove for the later departure. Unticking the original Add would change what the history says about whether the stock belonged at the earlier time.
Entry number
Give this joining or leaving entry a number or short label you have not used for another membership change. This is its Entry number. The member’s Stock number stays the same, but each later joining or leaving needs a new Entry number so you can tell those changes apart.
Batch number
Choose the group the member is joining or leaving. Read its name and purpose if you are unsure which batch is intended. The group organizes existing records without replacing their Stock numbers or combining unlike quantities.
Stock number
Choose the existing Stock number for the item or lot joining or leaving. Keep using the same number as its notes, moves and production records. Adding it to a batch does not create another receipt or another physical item.
Happened on
Choose the date the stock really joined or left, using the calendar in the date cell. If you are writing the change later, keep the original joining or leaving date here rather than replacing it with today’s date.
Time happened
Enter the actual local time using a suggested time or by typing a known value. The time matters when membership changes and a shared incident occur on the same day. It helps establish which stock belonged when the incident happened.
If you do not know a precise time, do not invent one to make the history appear certain. Resolve who was actually affected before relying on a batch incident’s member list.
Choose Add or Remove
Choose Add when the stock joins, and Remove when it leaves. Keep both rows if it joins and leaves at different times. You can then understand the earlier group as well as its present membership.
Leaving a batch does not consume the stock, move it off the farm or delete its earlier notes. Those are separate matters with their own records. This page should describe membership alone so that the group remains meaningful when you review a shared observation.
Reason, if helpful
Use a short explanation when the reason for a change will help someone understand it later. Ordinary joining or leaving events may need no extra explanation. The goal is useful context, rather than another required field to fill for every change.
Read Entry check
Read Entry check before ticking Include entry. Ready means the row passes its checks. Follow any other message so the group list can use the change as intended.
After ticking Include entry, click View batches → and check Current members. To record a different joining or leaving event, use Next membership entry → on Batch membership; earlier events and unfinished rows stay in place.
Before using Record a batch note →, check who belonged at the incident date and time. Stock that belongs today may not be the same stock that belonged then.
