Correct quantity

Use a quantity correction when the original amount of received or produced stock was recorded incorrectly. You replace that mistaken starting amount while keeping the stock’s number, original entry and explanation of the repair.

Begin by separating a wrong record from a real event. A weighing or counting mistake needs a correction. Stock that was genuinely used, lost or discarded needs the corresponding production or use/loss record. The distinction keeps a corrected tally from being reported as a physical loss.

Apply one quantity correction

This menu action needs the development add-on installed and given permission to use the workbook. Copying the spreadsheet does not install those extra tools. The preview has 200 correction rows; use practice records and let one person manage the correction.

Before entering a correction, check that this stock’s entry on Add Stock or Produce or harvest has an Accepted result on Post entries.

Find the original entry on Add Stock or Produce or harvest and check the amount that should have been recorded then. Do this before entering the correction. Later uses and losses will still be subtracted, so today’s remaining amount is not the replacement starting amount.

  1. On the next empty Correct quantity row, choose a new Correction number and the existing Stock number. Enter Correct original quantity and explain how you established it.
  2. Read Entry check and Remaining after correction. When it says Ready to apply, click any cell in that row.
  3. Ask anyone using this workbook to stop adding or changing entries while you apply the correction. Choose Extensions → Farmer’s Helper — Development → Stock changes → Apply selected correction.
  4. Read the confirmation, then check Current Stock and Correction history. If the action stops before you can confirm the result, keep the same row and Correction number and run Apply selected correction again.

Correction number

Choose a number or short label that has not been used for another correction. Type it directly into the cell and keep it unchanged. It helps you find this repair and lets the tool recognise it if you have to run Apply again.

If the action is interrupted or its confirmation disappears, use this same row and number again. The tool checks whether this correction was already applied instead of applying it twice. Leave completed inputs in place. A later, different correction needs a new row, number and reason.

Stock number

Choose the stock whose original received or produced amount was wrong. Its entry must already have an Accepted result on Post entries. The stock keeps its number, unit, notes and earlier history.

This page repairs the starting quantity of that stock. It does not change the amount taken from its sources when it was produced. Correct details handles other details that can be corrected.

Correct original quantity

Enter what should have been recorded when the stock arrived or was produced, in its existing unit. Do not enter today’s remaining amount: production use, other uses and losses are still taken from this corrected starting amount. Use the decimal places allowed for the unit.

The new starting amount must cover all quantities already recorded as used or lost. If you chose to follow one counted item under its own number, the corrected count can be zero or one. You cannot use this correction to put several items under that one item’s number.

Correction reason

Explain which starting fact was wrong and what you checked to establish the right amount. This is required so that a later reader can understand why the figures changed. Correction history keeps the first, previous and replacement amounts with your reason.

Use Use or loss for a real physical reduction such as stock that died, spoiled or was discarded. A quantity correction repairs a mistaken record; it should not hide a real event that needs its own explanation.

Recorded by — optional

Choose a person or team, or type a name. It is optional, but gives colleagues someone to ask about the repair. When the correction is applied, the tool records the acceptance date and time. You enter the recorder name yourself.

Entry check

Read this before choosing Apply selected correction. Ready to apply means the entry passes its checks. Click a cell in that correction row so that the menu action applies the one you intend.

Applied means this correction has already been accepted. Leave its inputs in place. If a different message asks for attention, correct the entry boxes and read the updated message rather than typing over the sheet’s results.

Originally entered

This is the amount first entered on the receipt or production row. It remains visible after a correction so you can compare the first record with the accepted repair. Do not edit that original amount as another way to apply the correction; use the correction action and its history to keep the explanation together.

Current original amount

This is the starting amount the workbook now uses, after the latest accepted correction. It is different from the amount remaining after later use. Applying another correction replaces this starting amount; it does not add another receipt or production to the stock.

Current on hand

This is the amount left now after recorded production consumption, uses and losses. It can differ from the corrected original amount because work has happened since the stock arrived or was produced. A hold affects availability rather than removing physical quantity. Current Stock shows the amount alongside location, stage, status and the latest note.

Remaining after correction

This previews what would be left after recorded consumption is subtracted from your proposed corrected original amount. Read it before applying so that you can recognise an unintended result. It can change if other work is entered before the correction is applied.

Correction history keeps Remaining when applied as the balance at the moment of acceptance. Later work can change today’s amount, which is shown in Current Stock.

Save status

Not applied means this correction number has not yet been used for an accepted repair. Pending means the action started but did not finish. Keep other entry stopped and run Apply selected correction again on this same row and number. Applied means the repair is accepted and appears in Correction history.

If you lose a confirmation, check this status rather than creating another correction. Reusing the same row and number lets the tool finish or confirm the repair without treating it as another one.
