Use this page when existing stock moves to another place or reaches another stage of work. The stock keeps its number, quantity and earlier history. You are describing what happened to the same item or lot, rather than receiving it again or producing another output.
Location tells you where to find the stock. Process : stage tells you how far it has progressed. A move can change either one or both, so enter only the details that actually changed.
Record a move or a stage change
Start by finding the stock in Current Stock so that you can recognise its number and present details. This page applies a change to the whole item or lot tracked under that number.
On Current Stock, choose Move or change stage to open the next unused entry row. Enter a new Change number, choose the existing Stock number, and record the actual date and time. For several items, follow Move several items together below.
Choose a New location if the stock moved. Choose a New process : stage if its progress changed. Leave an unchanged field blank; enter both on the same row when both happened together.
Read Entry check. When it says Ready and the details describe what happened, tick Include change on that row.
Return to Current Stock to check the result. Move history lets you review the recorded change beside its previous location and stage.
This works directly in Google Sheets, using its own Include change box rather than Post entries. Have one person enter work at a time. There are 200 move entries in the development preview.
Move several items together
When several whole items or lots move together, you can enter their shared details once and copy those details down the entry rows. Keep one row for each different Stock number. Each row still has its own Change number and check, so you can see exactly which stock changed place or stage.
You can do this directly in Google Sheets. The first three columns stay visible when you scroll sideways, keeping the Stock number beside the details you are entering. The Several items — HELP link near the top of Move or change stage opens these instructions.
Choose the stock that actually moved. On Current Stock, select the adjacent Stock number cells for the whole items or lots involved and copy them. Copy only the numbers, not their headings or neighbouring columns. This changes each whole item or lot; it does not separate part of a lot from what remains.
Start at unused rows. Choose the Move or change stage link on Current Stock, or the next-move link near the top of Move or change stage. Make sure there is an unused row for every copied number. Select the first Stock number cell in column C and choose Edit → Paste special → Values only. This pastes the numbers rather than the formulas or formatting behind the Current Stock view. Do not paste over earlier changes.
Give every row its own Change number. In column B, type a different unused number or short label for each change and keep it unchanged. Do not copy one Change number down several rows. Check column C too: each row should contain a different Stock number from the group you intended to move.
Enter only genuinely shared details once. Columns D to I contain Happened on, Time happened, New location, New process : stage, Recorded by and Detail. Complete the first row with what actually happened. Leave location or stage blank when that detail did not change. Only reuse a time or recorder name when it is genuinely the same for those rows; do not invent information to make an entry pass.
Copy the shared details down. If every detail in D to I applies to every selected item, select that block from the completed first row through the last row, including the first row. Press ⌘D on Mac or Ctrl+D on Windows to fill the lower rows from the first row. If only some details are shared, select and fill those columns one at a time, then enter the other details separately. Do not include Change number, Stock number, Include change or the check columns in a fill-down selection.
Review, then include each change. Read Entry check in column J for every row. When a row says Ready and its details are right, tick Include change in column A. Leave any row that needs attention unticked while you correct it. Once you have included the ready rows, return to Current Stock once to check their locations and stages, then read Move history. The moves should leave each stock quantity unchanged.
Each ticked row takes effect separately. This is not a single action that either completes every row or cancels them all. If one row needs attention, the other included changes can remain in effect. Check the unfinished row before including it, and have one person enter these changes at a time.
Include change
Leave Include change unticked while the row is unfinished. When Entry check says Ready and the details are right, tick it. The spreadsheet then uses that row to update the location, stage or both, and the change appears in Move history. A move uses this box rather than Post entries.
Unticking the box removes that change from the preview’s results. Leave completed events in place: changing or removing an earlier move can also change the previous location or stage shown for later events.
Change number
Give this move or stage change a number or short label that has not already been used for another change. Type it directly into the cell and keep it unchanged. It lets you find this event again; the separate Stock number tells you which stock moved.
If Entry check reports a duplicate number, leave the unfinished row unticked while you choose an unused number. Two included changes with the same number are both blocked until that duplication is resolved.
Stock number
Choose the item or lot that actually moved or progressed, using the number it already has. Its entry on Add Stock or Produce or harvest must already have an Accepted result. Keeping the same number brings its notes, quantity and earlier history along with it.
This action changes the whole item or lot followed under that number. It cannot split off part of a lot or change its quantity. Other stock stays where it was recorded unless you enter a change for it too.
Happened on
Record the date the move or stage change actually happened. Double-click the cell for the date picker or type the date. It cannot be in the future or before the stock arrived or was produced. Planned work belongs in Work plan until it happens.
You can enter an older event later. Current Stock uses the latest included event date and time for each changed field, rather than assuming the last row typed is the most recent event. This is why accurate event dates matter when catching up with records.
Time happened
Enter the actual time so that several events on the same date can be put in order. You can choose a suggested quarter-hour time or type a more exact time, such as 09:37. Read times in the workbook’s timezone.
Two included changes for the same stock cannot share a date and time. If location and stage changed together, put both on one row. If two events conflict, resolve what happened rather than inventing a different time merely to clear the check.
New location
Choose where the stock went from the Locations tab. Leave this blank if it stayed in the same place. Once Entry check says Ready and Include change is ticked, Current Stock uses this destination as the new place.
Choosing a place does not also change progress or readiness. Use New process : stage if progress changed too, and record a separate readiness decision when one is needed.
New process : stage
Choose the process and stage the stock actually reached, using the Stage plans tab. Leave this field blank when its progress stayed the same. A stage can change while stock stays in one place, and stock can move without reaching another stage.
A stage change does not automatically choose a location, release a hold or set a new expiry date. Record those separate facts or decisions through the appropriate fields and pages when they apply.
Recorded by
Choose the person or team recording the change, or type a different name. The suggestions come from General settings and People or teams and help you use familiar names consistently. You need to enter one yourself; signing into Google does not fill it.
Detail
Add context that explains this move or stage change, especially if someone reading it later would otherwise wonder why it happened. For a separate observation with its own date and time, use Stock notes. A note can describe a concern without changing the stock’s location or progress.
Entry check
The sheet fills in this message to show whether anything needs attention before the move is included. It checks the chosen stock, change number, date and time, and whether you entered a new location or stage. Correct the entry boxes when a message asks you to, leaving the sheet’s results unchanged.
When the message says Ready, review the facts and tick Include change. Then check Current Stock to see the place and stage you will use in everyday work.
Previous location
This shows where the stock was before this move, using its starting place and earlier included moves. Read it beside New location to check the journey you are recording. A later move can mean this previous place is different from where the stock is today.
Previous process : stage
This shows the stage reached before this event. Read it beside New process : stage to see the progress being recorded. The spreadsheet works it out from earlier entries, so changing an earlier event can also change the previous stage shown here.
