Assessment history

Assessment history lets you read what was found and how decisions about stock availability changed over time. An inspection and a release are different events, so read the recorded action alongside the finding rather than assuming a reassuring observation means stock became available.

Current Stock gives you today’s status. This page explains the assessments, holds and other included decisions that led to it.

Find an assessment or decision

In the search cell near the top (B4), enter the stock number, the assessment’s Entry number or words from the finding or reason. Read the matching dates, actions and explanations together. Delete the text in the search cell to show all included entries again, newest first.

An entry appears here only after it passes Entry check and Include entry is ticked on Assessment & holds. If something is missing, return to its original row and read that message. The history fills itself from those entries, so leave the displayed cells unchanged.

Entry number

This reference identifies one assessment or decision. Use it to find the original row on Assessment & holds. A single stock number may have many assessments over time; their different entry numbers let you distinguish a particular inspection, hold or release.

Stock number

This is the number of the item or lot that was assessed. A hold, release or inspection keeps that number and its earlier history together; it does not add or remove a quantity. Use the same number in Current Stock to see the present amount and readiness.

Happened on

This is the actual event date entered for the assessment or decision. It may be earlier than the date someone typed it into the workbook. Read it with the event time when following the sequence, especially when an older event was entered later.

Time happened

Read the time with Happened on when following several events on the same day. The times use the workbook’s timezone. A later deliberate decision can change the current readiness while the earlier inspection and its finding remain in history.

What happened

This tells you whether the entry describes an inspection alone or a decision about using the stock. Assessment only records a finding without changing availability. A hold, release, Not ready or Not assessed decision changes the status shown for that stock.

An inspection can therefore appear after a hold without lifting it. Read the action as well as the finding when deciding what the history means.

Finding or reason

This explains the finding or the reason for a decision. Read it beside What happened: the wording gives context, while the action tells you whether a status decision was made. Neither an observation nor a hold automatically records a physical disposal or loss.

Recorded by — optional

This is the person or team named on the entry, so you know whom to ask about the finding or decision. The recorder entered the name; it was not filled from Google sign-in.

Status change

This shows what that included decision did to readiness. Assessment only shows No change; the other actions show the status chosen at that time. A later decision can change readiness again without erasing the earlier one. Open Current Stock for the present status after the decisions and use-by date.

Previous status

This shows the readiness immediately before the event. Compare it with Status change to understand what the decision changed, or why an assessment left a hold in place.

The spreadsheet uses the starting status and earlier included decisions to work this out. If an earlier practice entry is changed, this previous status can change too.
