Additional sources

Sometimes one output comes from more than one tracked item or lot. This page adds the other sources to a production activity so that its full origin is recorded. The main source stays on Produce or harvest; each further source has one row here.

These rows belong to the same activity and output. You will submit the completed activity once, after all its sources are ready, and check that its posting result says Accepted. If only one source contributed, you can leave this page unused.

Add another source to one output

Begin the output on Produce or harvest before entering these rows. Its Activity number is the shared reference that connects every source to this one output. Click Add another source → on that page, or Next source → here, to reach the next unused source row. Earlier contributions and unfinished rows stay in place; finish an existing contribution on its original row.

Choose the same Activity number as the main production row; the navigation link does not fill it for you. To check or finish that main row, click Back to Produce or harvest →. When every source and the main row are ready, click Post completed activity →. It opens the next unused posting line, where you choose the completed activity once and wait for Accepted.

  1. Copy the exact activity number into the next empty Additional sources row, then select a contributing stock number that has not already been used for this activity.
  2. Read that source’s unit and enter the amount actually removed from it. Add another row only when another distinct source contributed.
  3. Read the check on every source row and on the main activity. When the whole record is ready, select the completed activity once on Post entries.
  4. Check for Accepted, then use Lineage to review the connections from all the sources to the one output.

Additional sources are accepted as part of the production activity. Posting each source separately would not be the correct way to create the output. Keep the entry rows in order and let one person enter work at a time.

Posted

Preparing these source rows saves their draft details in the spreadsheet, but does not yet change stock quantities. Finish the main production row and all its sources, then choose the completed activity once on the next unused Post entries line. Accepted means the output and the amounts used from all its sources were recorded together. The source rows then show their posted result automatically; do not post each contribution separately.

If the result is Rejected, no new stock has been added and nothing has been taken from its sources. Correct the existing draft, then choose its updated entry on a new Post entries line. Leave the earlier rejected line in place. If a window closes or a confirmation disappears, check the earlier result before trying again; work already marked Accepted should not be entered as another activity.

Activity number

Enter the same Activity number you used for this work on Produce or harvest. It tells the spreadsheet which output this source contributed to. Do not put the output’s stock number here: that labels the stock, while the activity number labels the work. Check it against the main production row, especially if you have more than one unfinished activity.

Source stock number

A source is the stock something came from. It can be material used up in the work, or stock that continues to produce without being removed. Choose its stock number so that you name the particular item or lot involved, rather than just the kind of product.

Before using it as a source, its own entry on Add Stock or Produce or harvest must have an Accepted result on Post entries. Put the main source on Produce or harvest. If others contributed, add each of them once on Additional sources using the same activity number. Do not repeat the main source there. Keep those source entries before the later work that uses them, and leave the rows in their original order.

Quantity used

Quantity used is the amount taken out of this source’s recorded quantity. Read Source unit first so you know whether to enter a count, weight or another measurement. Enter 0 only when none of that tracked quantity was consumed. Enter zero rather than leaving the box blank, because a blank is unfinished.

A source can remain available for later work and still lose some quantity in this activity. For example, taking 5 mL from a recorded 100 mL source means entering 5 as Quantity used, leaving the rest for later. Keeping the source record does not by itself mean its Quantity used should be zero.

Measure what was produced separately. The source and the new stock may use different units, and one amount cannot safely be worked out from the other. Enter the actual amount taken from each source; the spreadsheet does not make unit conversions for you.

Entry check

Read the message on each source row as you complete the activity. It can identify a missing or repeated source, or an amount that exceeds the source’s remaining quantity. After changing a source row, review the main production draft too, because the output and every contribution need to agree.

At posting, the output and all its source use are accepted together. A source problem that causes rejection creates no output and removes no source quantity. Correct the existing activity draft and choose its updated completed record on a new Post entries line, keeping the rejected posting in place. Do not create another output merely to retry that same activity.

Source unit

The spreadsheet shows how this source is measured. Read the label before entering Quantity used, then enter the amount in that unit. Sources contributing to the same output can use different units, so check each one separately rather than assuming they all mean the same thing. The sheet does not convert between them.

Source status now

This shows whether the source is available now, using the labels Available, On hold, Not ready, Not assessed or Past use-by. A caution is a reason to check the situation before proceeding. It does not tell you what the source’s condition was on an earlier date.

A later hold leaves earlier production in the records. It does not put used material back or place every related item on hold. Use Lineage to find what came from the source and Assessment & holds to record any separate decisions needed for that stock.
